Privacy Policy

Your privacy matters to us

This policy explains how Studio Twenty Three collects, uses and protects personal information when you visit www.studio23productions.co.uk, contact us, commission work or take part in a production. It also explains your choices and rights. Last updated: 1 November 2026.

Who We Are

Isaac McGuire trading as Studio Twenty Three is the controller responsible for the personal information described here. You can contact us at hello@studio23productions.co.uk about this policy or your information. We apply the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and applicable privacy and electronic communications legislation.

For work carried out solely on a client’s instructions, the client may be the controller and we may act as its processor. We explain the relevant arrangements in the project information. Additional contributor notices explain uses specific to a film.

Information We Collect

Enquiries and client work: your name, email address, telephone number, organisation, correspondence, project brief, booking details, billing information and transaction records, where relevant.

Productions and contributor releases: your image, voice, interview, relevant background information, contact details, permissions, signature, release reference and date. A particular project may require age or parent/guardian information.

Website visits: Wix and relevant providers process technical information such as IP address, browser and device details, pages visited, dates and times, security logs and cookie choices. The information collected depends on the features you use and your privacy settings.

We normally receive information directly from you. We may also receive relevant information from a commissioning client, a collaborator, a contributor or a public source. Where required, we explain the source and our use to you. Please avoid sending unnecessary sensitive information or private details about other people.

Contact Forms and Story Submissions

We use details submitted through our contact and story forms to answer you, consider your proposal and arrange any requested work or participation. Wix provides our website and form infrastructure. Submitting a form does not subscribe you to marketing or give permission to publish your story, image or voice.

Providing information is usually voluntary. If you do not provide details needed to answer an enquiry, agree a booking or deliver a service, we may be unable to do so. We will explain any information required for a contract or legal obligation when it is requested.

How and Why We Use Information

Enquiries and quotations: to respond and discuss work, using steps requested before entering a contract with you, or our legitimate interests in handling enquiries and assessing proposals.

Client projects: to agree, administer and deliver our services under our contract with you. For an organisation’s representatives, we rely on our legitimate interests in managing that business relationship.

Production administration: to organise filming, communicate with contributors and maintain permission records, relying on our legitimate interests in running productions and demonstrating agreed rights, balanced against individuals’ rights.

Voluntary awareness-campaign contributions: to record, edit and publish agreed interviews, portraits and related material using specific consent for the stated project and channels. Other productions may use different lawful arrangements, explained before participation.

Website operation and security: our legitimate interests in maintaining a reliable website, preventing misuse and resolving problems. Accounts and statutory records: compliance with applicable legal obligations.

Marketing and optional tracking: consent where required. You can unsubscribe or withdraw consent at any time. We do not treat browsing, making an enquiry or signing a contributor release as marketing consent.

Filming, Interviews and Sensitive Information

Before planned participation, we explain the production, intended audience, distribution channels and relevant permissions. Published contributions may be seen worldwide, including through social platforms or distribution partners identified for the project. Private contact details and signatures are not part of public campaign material.

Information about health, including personal mental-health experiences, needs additional protection. For voluntary sensitive disclosures in the “You Alright?” awareness film, we request separate explicit consent under Article 9(2)(a), alongside Article 6 consent, to record and publish that information. You may skip questions, decline sensitive disclosures or stop filming. General wellbeing comments do not require a diagnosis or medical history.

Contact us to withdraw consent where we rely on it. Withdrawal does not affect the lawfulness of earlier processing. We will stop future consent-based use and deal with removal from channels we control, subject to applicable law. We cannot guarantee recovery of copies independently downloaded or shared by others. A release does not remove your statutory privacy rights.

Who We Share Information With

Information is shared only where needed for the relevant purpose: with Wix for hosting and forms; email and storage providers; crew, editors and production contractors; commissioning clients and distribution partners where the project arrangements allow; professional advisers; and authorities where required by law. Service providers processing information for us must protect it and use it within their agreed role.

Publication makes agreed film material available to its audience. Platforms receiving published material also process information under their own privacy notices. We do not sell personal information.

International Transfers

Wix and other service providers may process information outside the UK, including through overseas group companies and subcontractors. Wix’s privacy information and sub-processor list describe its international operations.

For restricted transfers, we use an applicable UK adequacy regulation or appropriate safeguards, such as the UK International Data Transfer Agreement or approved standard contractual clauses with the UK Addendum, together with any required assessment and supplementary protections. Contact us for details of the safeguards relevant to your information and how to obtain a copy, with confidential information removed where necessary.

How Long We Keep Information

We keep information for as long as needed for its purpose and any applicable legal requirements. Enquiry records are assessed according to whether discussions remain active, lead to work or require follow-up. Closed enquiries are reviewed for deletion when no longer needed.

Client and accounting records are retained for the applicable tax, accounting and legal-claim periods. Footage is assessed against production, editing, delivery and safeguarding needs. Published masters and minimum permission records may be retained while the production remains in use and for relevant claim periods. We review unused raw material rather than keeping everything indefinitely.

A dispute, safeguarding concern or legal obligation may require longer retention. Contact us for the period or criteria applying to a particular record.

Keeping Information Secure

We use appropriate technical and organisational measures, including restricting access to people who need information for their work. Contributor contact details, signatures and release records are kept separate from material intended for public release. No transmission or storage system is completely secure. Please contact us promptly if you believe information has been lost, exposed or misused.

Your Data Protection Rights

Depending on the circumstances, you can ask for access to your personal information, correction of inaccurate details, erasure, restriction of use or a portable copy. You can withdraw consent at any time by contacting hello@studio23productions.co.uk.

Your right to object: you can object to processing based on legitimate interests for reasons relating to your particular situation. You can object to direct marketing at any time.

Rights are subject to applicable conditions and exemptions; we explain any refusal or limitation. We normally respond within one month, subject to lawful extensions or other permitted adjustments to the response period. We may request proportionate information to verify your identity. Requests are normally free.

We do not use this website to make decisions based solely on automated processing that have legal or similarly significant effects on you.

Complaints

Please contact hello@studio23productions.co.uk if you have a concern about our handling of your information. You can also complain directly to the Information Commissioner’s Office (ICO), the UK data protection regulator, at https://ico.org.uk/make-a-complaint/ or on 0303 123 1113. You do not have to contact us first.

Cookie Policy

Cookies are small files stored on your device. Similar technologies can also store information or access device information. Our Wix website uses technologies to support its operation and security; optional features may also involve usage measurement, remembered preferences or embedded media.

Essential technologies support functions such as security, network management and services you request. Other technologies may measure visits, remember additional choices or support third-party media. Their availability depends on the features enabled on the website.

Technologies requiring consent must only operate after you agree. Any statutory exception must meet its applicable conditions. Where optional technologies are offered, use the website’s cookie controls to accept, reject or change your choices. If a control is missing or does not work, contact us.

Your browser can also block or delete cookies. Blocking essential cookies may affect requested features. Third-party websites and platforms have their own cookie and privacy notices. We do not assume every possible category, such as advertising cookies, is used simply because the website is hosted on Wix.

Children’s Information

Our business website is not designed to invite children to submit personal stories or sensitive information independently. Where a production involves children, we provide appropriate information, consider the child’s understanding and rights, and arrange parent or guardian involvement and permissions where appropriate or required. Contact us if you believe a child has supplied information that needs attention.

Links to Other Websites

Links to external websites and social platforms take you to services operated by others. Their own privacy notices explain what they do with information. Please review those notices before providing personal information.

Changes to This Policy

We review this policy as our services and practices change and update the date above. We explain material new uses before they begin and seek fresh consent where required. Continuing to browse the website does not itself provide consent to a new use of your information.
